Cold email sending limits for Google Workspace and Microsoft 365
There are two sets of numbers: what the platform technically allows, and what keeps a cold email domain alive. The second one is much smaller.
Platform limits (official)
| Limit | Google Workspace | Microsoft 365 |
|---|---|---|
| Messages or recipients per day | 2,000 messages per user (500 on trial) | 10,000 recipients per mailbox |
| Total recipients per day | 10,000 | 10,000 |
| Rate | Not published as per minute | 30 messages per minute |
| Recipients per message | 2,000 (500 external) | 500 by default |

Bulk sender rules you must meet
- Gmail and Yahoo (since February 2024): senders of more than 5,000 messages a day to Gmail need SPF, DKIM and DMARC (at least p=none) with alignment, one-click unsubscribe on marketing mail and a spam rate under 0.3%.
- Outlook.com (since May 2025): domains sending more than 5,000 messages a day must pass SPF, DKIM and DMARC (at least p=none, aligned).
- Everyone: valid forward and reverse DNS, TLS, and a working way to opt out.
Cold email teams rarely hit 5,000 a day from one domain, but receivers apply the same expectations to smaller senders. Check your domain with the free DNS checker.

Questions people ask
How many emails can I send per day from Google Workspace?
Google Workspace allows up to 2,000 messages per user per day (500 on trial accounts) and 10,000 total recipients per day. For cold email, plan about 30 per mailbox per day. The platform limit is a ceiling for normal business use, not a target.
How many emails can Microsoft 365 send per day?
Exchange Online allows 10,000 recipients per day per mailbox and 30 messages per minute. Microsoft has also announced tenant-level limits on external recipients, so check the current Exchange Online limits page. For cold email, plan about 30 per mailbox per day.
What is a safe number of cold emails per day per mailbox?
About 30 is the common working limit, with 20-50 as the realistic range depending on mailbox age, list quality and reply rates. Spread volume across 3 mailboxes per domain rather than pushing one mailbox harder.
