Google Workspace vs Microsoft 365 pre-warmed mailboxes
The right platform depends less on the platform and more on who reads your email. Match the sender to the recipient, then split the fleet if your list is mixed.

Platform comparison
| Google Workspace | Microsoft 365 | |
|---|---|---|
| Lands best with | Gmail and Google Workspace recipients | Outlook and Microsoft 365 recipients |
| Typical lists | Startups, SMBs, tech, agencies | Enterprise, finance, healthcare, public sector |
| Admin you should receive | Google Admin console, super admin | Microsoft 365 admin center, global admin |
| Connects with | OAuth, or IMAP/SMTP with an app password | OAuth, or SMTP with SMTP AUTH enabled |
| DKIM setup | One TXT key at google._domainkey | Two CNAMEs at selector1 and selector2 |
| Daily platform limit | 2,000 messages per user | 10,000 recipients per mailbox |
| Safe cold volume | About 30 a day | About 30 a day |
Two filtering systems also means one platform change cannot quiet your entire fleet at once, which is the quiet reason larger teams run both.
Connecting to a sequencer
- Google Workspace: OAuth is cleanest. If your tool needs IMAP/SMTP, enable 2-step verification and create an app password per mailbox.
- Microsoft 365: OAuth where supported. For SMTP, SMTP AUTH must be enabled for each mailbox in the admin center, and security defaults may need adjusting.
Getlead sells both, pre-warmed, and will split an order by platform; tell them the ratio from the tool above. Platform-specific pages: best pre-warmed Google Workspace and best pre-warmed Microsoft 365.
Questions people ask
Are Google Workspace or Microsoft 365 mailboxes better for cold email?
Neither is better in general. Mail tends to land best when the sending platform matches the recipient's: Google to Gmail and Workspace recipients, Microsoft to Outlook and Microsoft 365 recipients. Many teams split their fleet to match their list.
How do I know which email provider my prospects use?
Look up the MX record of each prospect's domain. MX records ending in google.com or googlemail.com are Google; ones ending in outlook.com or protection.outlook.com are Microsoft. Most list tools and enrichment providers return this as an "email provider" field.
