How email warmup works, and why it takes 4-6 weeks

Receivers do not trust a mailbox because it is old. They trust it because it has a record of sending small amounts of wanted email. Warmup is how that record gets built.

What receivers actually score

Mailbox providers do not publish their filters, but their sender guidelines say which signals matter. Warmup targets the ones a new sender lacks:

Your new mailbox2 → 30 sends a day Gmail inboxOutlook inboxWorkspace inbox Receivers score AuthenticationSteady volumeOpens and repliesNot-spam actionsComplaints
Warmup exchanges a small, rising volume of email with peer inboxes that open, reply and rescue mail from spam. Receivers record that history against the mailbox and domain.
SignalWhy it mattersWhat warmup does
AuthenticationRequired by Gmail, Yahoo and Outlook for bulk sendersNothing on its own: publish SPF, DKIM, DMARC first
Volume patternSudden spikes from a new domain look like abuseBuilds a slow, steady curve
EngagementOpens, replies and moving mail out of spam are positiveSupplies them while you have no real audience
ComplaintsGmail asks senders to stay under 0.3% (ideally 0.1%)Keeps the early record clean

What a real warmup log shows

If you buy pre-warmed, the warmup log is your evidence. A useful one has one row per mailbox per day with:

  • Date, emails sent and emails received
  • Replies, and how many landed in inbox vs spam
  • A ramp with no jumps of more than a few emails a day
  • At least 28 days of history before handover

Most providers do not hand this over. Getlead includes the full daily log and a seed placement report with every order, which is the main reason it is our recommended provider. The provider comparison shows who else publishes evidence.

What warmup cannot do

Warmup is a starting history, not a shield.

Send to unverified lists, ignore opt-outs or jump to 100 emails a day and the history is gone within days, whether the mailbox was warmed by you or by a provider.

Questions people ask

Does email warmup actually work?

Warmup works for what it is: it gives a new mailbox and domain a history of normal, low-volume sending with positive engagement, so receivers have something to judge other than a sudden burst of cold email. It cannot fix a bad list, misleading copy or missing authentication.

How long does email warmup take?

For a new domain plan 4-6 weeks before real cold email. The ramp itself (2 emails a day up to about 30) usually takes 4-5 weeks, plus a few days at full volume to confirm signals are stable.

Can Google detect warmup tools?

Google does not publish how it treats warmup networks. What is known is that Gmail scores engagement, complaints and authentication per domain and sender. Treat warmup as a way to build history gradually, not a trick, and keep real engagement (replies to real outreach) as the main signal once you start sending.
